Privacy Policy

This policy explains how ANSA Parking Consultants Ltd (“ANSA”, “we”, “us”) collects and uses personal information when you visit this website, get in touch with us or work with us as a client. We handle your information carefully and only for the purposes set out below.

2. The information we collect

When you use our contact form or email us, we collect your name, your email address, your phone number if you choose to provide it, and the content of your message. When you visit the website, our hosting and security providers automatically process limited technical information, such as your IP address and basic browser details, to deliver the site and keep it secure.

3. How we use it, and our lawful basis

We use your information to:

  • respond to your enquiry and correspond with you about it: our lawful basis is our legitimate interests in running the consultancy and replying to those who contact us, and, where relevant, taking steps at your request before entering into a contract;
  • keep the website and contact form secure and free from spam and abuse: our lawful basis is our legitimate interests in protecting our site and systems.

We do not use your information for marketing, and we never sell it.

4. The contact form and anti-spam

Messages sent through the contact form are delivered to us by email; the form does not store your enquiry in a database on the website. To protect the form from automated abuse, we use Cloudflare Turnstile, which checks that a submission comes from a person rather than a bot. This involves Cloudflare processing limited technical information, such as your IP address and interaction signals. Turnstile is designed to protect privacy and does not use cookies to track you across websites.

5. Who we share it with

We use a small number of trusted providers who handle information on our behalf, on our instructions:

  • Google (Firebase Hosting and Cloud Functions): hosts the website and processes contact-form submissions; the contact function runs in a UK (London) region.
  • Cloudflare: provides the Turnstile anti-spam check on the contact form.
  • Microsoft (Microsoft 365): provides the email service through which your enquiry reaches us.

We may also disclose information where we are required to do so by law.

6. International transfers

Some of our providers operate global infrastructure, so your information may be processed outside the United Kingdom. Where that happens, we rely on appropriate safeguards, such as UK adequacy regulations or standard contractual clauses / the UK International Data Transfer Agreement, to protect it.

7. How long we keep it

We keep enquiry correspondence for as long as necessary to deal with your enquiry and maintain reasonable business records, normally for no longer than 24 months. If your enquiry leads to a client engagement, relevant information may be retained for longer as part of our client records, as described below.

Technical and security logs are retained only for as long as necessary for security and operational purposes, in accordance with the retention arrangements of the relevant service provider.

8. If you work with us as a client

When you engage us as a client, or talk to us about doing so, we hold the personal information we need to provide our services and manage our relationship with you. This is usually business contact information such as your name, role, organisation, email address and phone number, together with our correspondence, notes about the work, the scope and deliverables of the engagement, and billing and payment details.

Our lawful basis for this is the performance of our contract with you, or taking steps at your request before entering into one; our legitimate interests in managing, supporting and developing the working relationship; and, for invoicing, accounting and tax records, compliance with our legal obligations. We hold this information in a secure, access-controlled client management system used only by us. We do not sell it, and we share it only with trusted providers who help us operate, such as our secure IT systems, email and accounting software, or where we are required to by law.

We keep client records only for as long as we need them, in line with our Data Retention Policy, which we can provide on request. As a guide we generally keep engagement records for six years after the work ends, with some financial records kept longer where tax or company law requires it, after which they are securely deleted or anonymised.

Sometimes a client asks us to handle personal information on their behalf as part of an engagement, for example parking or appeals records. In those cases the client decides how that information is used and remains responsible for it as the controller; we act only on their written instructions under a separate agreement, and that information is governed by that agreement rather than by this policy.

9. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to delete your information, or to restrict or object to how we use it;
  • where applicable, ask us to transfer your information to another organisation.

If you are unhappy with how we have handled your personal information, please tell us first by emailing info@ansapc.co.uk, so we can look into it and put things right. We will acknowledge your complaint and respond as soon as we reasonably can. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk, by calling 0303 123 1113, or by writing to the Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF. We would always welcome the chance to put things right with you first.

10. Cookies

This website uses no analytics or advertising cookies and does not track your browsing. The only cookies that may be set are strictly necessary ones used to keep the contact form secure. See our Cookies page for detail.

We may update this policy from time to time. The date at the top shows when it was last revised.
